How to use VinoStash

๐Ÿš€ Getting started

One account, every device.
  1. Go to vinostash.com and tap Create your free account.
  2. Enter your email and a password (8+ characters). If you have a promo code, enter it here โ€” it's applied to your account forever.
  3. Tap Create account. If asked, confirm the link we email you, then sign in.
  4. That's it โ€” your cellar now syncs automatically to every device you sign in on.
๐Ÿ’ก New here? On your Profile page, tap Try it out to add 4 wines picked for your palate to your wish list โ€” erase them anytime in Settings.

๐Ÿ“ธ Add a bottle (snap-to-catalog)

VinoStash reads the label so you don't type.
  1. Tap the Add tab, then Snap the label.
  2. Point your camera at the front label and take the photo.
  3. It asks for the back label too (or check "no back label") โ€” reading both together fills the details in far more accurately.
  4. VinoStash fills in the producer, vintage, region, grape, market price and drinking window. Check it and fix anything it misread.
  5. Add what you paid, how many bottles, pick the storage location from your saved list, and note the rack / shelf it's going into.
  6. Tap Save to cellar. Done โ€” usually under 15 seconds.

๐Ÿงพ Snap a receipt

Prices fill themselves in later.
  1. After a wine run, tap Add โ†’ Snap a receipt and photograph the receipt.
  2. VinoStash reads the store, date, and every wine line item with its price.
  3. Later, when you snap a label from that trip, the price you paid is matched and filled in automatically.

๐Ÿ”ญ Spot a bottle โ†’ wish list

At a store, a restaurant, a friend's table.
  1. Open the menu (โ˜ฐ) and tap Bottle Scout โ€” or on the welcome screen, ๐Ÿ”ญ Add to my Wish List.
  2. Pick one of three ways: ๐Ÿ“ธ Snap the label, ๐Ÿ–ผ๏ธ Upload an image, or โœ๏ธ Enter details by hand.
  3. Snapped or uploaded? You'll get the wine's region, grape, estimated retail price, drinking window, and a fun fact.
  4. Tap โญ Save to wish list to remember it โ€” or Add to cellar if you're buying it on the spot.
  5. Browse your list anytime via โ˜ฐ โ†’ My Wish List. When you buy a wish-listed wine, open it and tap ๐Ÿท I bought it โ€” it moves straight into your cellar with everything pre-filled.

๐Ÿ“ Storage locations & racks

A cellar in CA, storage in Mexico, a wine fridge โ€” every bottle knows its home.
  1. Go to My Profile โ†’ ๐Ÿ“ My storage locations and add each place you keep wine โ€” e.g. "Wine storage 1", "Home wine storage in CA", "Wine storage in Mexico".
  2. When you add or edit a bottle, pick its Storage location from that list (or choose โž• Add a new locationโ€ฆ right there).
  3. Type the Rack / shelf inside that location โ€” "Rack B, shelf 2". Racks you've used before are suggested as you type.
  4. Bottles you filed before this feature keep their old location โ€” it appears in the list automatically.
๐Ÿ’ก Each location's own bottle count shows next to it on your Profile โ€” and the Cellar tab can be filtered to any one location.

๐Ÿ” Find bottles & filter by location

Know exactly what's where.
  1. On the Cellar tab, type in the search box โ€” name, producer, vintage, grape, region, or even the rack, in any order.
  2. Use the filter menus to narrow by producer, varietal, vintage, or occasion.
  3. Use the location filter โ€” pre-populated from your Profile's storage locations โ€” to see just one spot. The bottle count and value at the top update to show that location's inventory.

๐Ÿฅ‚ Opening a bottle

Log the moment in one snap.
  1. Tap the Drink tab and snap the label (or pick the bottle from the list).
  2. Opened it a few days ago? Tap When did you enjoy it? and backdate it โ€” the journal files it under the right day.
  3. Add tasting notes if you like โ€” who you were with, what you ate, what you thought.
  4. Tap ๐Ÿ“ธ Snap the group you're sharing it with to capture the moment โ€” the photo is saved with the entry.
  5. Tap Save. The bottle count drops by one and the journal time-stamps the memory โ€” with your name on it when the cellar is shared.

๐Ÿ›‚ Wine Passport

Your journeys through wine โ€” stamped, not counted.
  1. Open the menu (โ˜ฐ) โ†’ Experiences โ†’ ๐Ÿ›‚ Wine Passport, or tap it on the welcome screen. Five quick cards across the top โ€” My Wineries, Memberships, Shipments, Visits and Events โ€” each show a live count and jump you straight to that part of your passport.
  2. ๐Ÿ‡ Add a winery in seconds: tap โž• Add a winery (or the My Wineries card on your home screen), start typing, and pick from the built-in directory or add any name. Then tap ๐Ÿ› Visited, ๐ŸŽŸ Member or ๐Ÿ”– Save for later. Known clubs even show their usual tiers (always "verify with your winery") and can start the membership for you.
  3. Every winery gets its own page that ties everything together โ€” your visits, your club and its tier, upcoming shipments, member benefits, events you logged there, and safe links to the winery site and your account. Nothing is copied: it all links back to the originals, so your wording is preserved. Private notes, member numbers and benefits stay private to you.
  4. Tap ๐Ÿ›‚ Add a stamp for any winery visit, tasting event, restaurant discovery, wine-region trip, or a bottle worth remembering โ€” with the place, region, date, wine style, your favorite pour, companions, a pairing, notes and a photo.
  5. Link a memory: connect a stamp to a journal entry or event โ€” nothing is copied, and removing a stamp never touches the original.
  6. Milestones celebrate exploration โ€” passport opened, three kinds of adventures, five regions explored, a trail completed โ€” never how much anyone drank.
  7. Wine Trails are learning challenges you create for any region, grape or style that interests you. Napa Cabernet appears as one example; choose your own matching keywords and stamp goal, and progress updates automatically from your Passport stamps.
  8. ๐ŸŽŸ Wine-club memberships get their own records: tier, shipped-or-pickup, bottles per shipment, how often, next shipment date, renewal date and member benefits. Your Passport's ๐Ÿ“… Coming up timeline shows every shipment, pickup window and renewal โ€” tap โœ… Received when a box arrives (and add the bottles to your stash if you like), โธ I paused it when you've put a shipment on hold with the winery (VinoStash won't count it missed, and it stays out of your calendar until you tap โ–ถ๏ธ resumed), or โญ Skip to reschedule. Miss one? The Passport asks "did it arrive?"
  9. Every membership can carry your member number (always private โ€” never shared, printed or exported), customization and cancellation deadlines, and links to the winery's site and your member account. Winery links open only over https and always show you the domain first โ€” VinoStash never handles bookings or payments; you deal directly with the winery.
  10. The Free plan tracks one active wine-club membership; paid plans and Founder Plan members track every club, plus received-shipment history and calendar export. One thing to keep straight: wine-club memberships belong to their wineries โ€” your VinoStash Founder Plan is a VinoStash membership, entirely separate.
  11. ๐Ÿ–จ๏ธ Print a keepsake copy anytime, or share a single stamp โ€” sharing sends only the place, region, date and style, never your notes, companions, photos or membership details.
  12. Free passports hold 10 stamps; every paid plan is unlimited. Founder #001 and #002 receive the gold Founder Edition; Founder Plan members receive the gold Contributor Edition. ๐Ÿค

Your cellar at a glance, the moment you sign in.
  1. VinoStash greets you by name with your stash summary โ€” bottle count and estimated value.
  2. ๐Ÿท Drink Soon appears when bottles are entering their ideal drinking window โ€” tap it to see exactly which ones.
  3. โค๏ธ Wish List and ๐Ÿ“– Recently Enjoyed keep what you want and what you loved one tap away.
  4. New here? A Build your first Stash tracker walks you to your first five bottles โ€” that's when cellar insights unlock.
  5. The bottom bar puts ๐Ÿ“ธ Scan front and center, with Stash, Drink, Wish List and Journal around it. Settings lives in the โ˜ฐ menu.

๐Ÿ‘ Drink again?

One tap that teaches VinoStash your taste.
  1. After you log a bottle, its journal entry asks Drink again? โ€” tap ๐Ÿ‘ or ๐Ÿ‘Ž once, then filter the Journal by your answer.
  2. A ๐Ÿ‘ on a wine you've run out of adds it to your wish list automatically.
  3. On any wish-list entry, tap ๐Ÿ”Ž Find This Wine โ€” VinoStash wine search is being built, and we'll let you know when we find sellers carrying that bottle. Search the web works today.

๐Ÿคต Whatโ€™s for Dinner?

Your personal sommelier โ€” for the bottles you already own.
  1. From the welcome screen, tap ๐Ÿคต Whatโ€™s for Dinner?
  2. Tap Steak, Pizza, Salmon, Chicken, Pasta, Spicy food or Cheeseโ€”or describe dinner in your own words.
  3. The sommelier ranks one to three bottles from your own stash, considering the pairing, drinking windows, quantities, Drink Again answers and context tags.
  4. Tap Open this bottle to start the open-bottle tracker, or show all matches together in your Stash.

โณ Currently Open

Remember when it was openedโ€”and when to revisit it.
  1. Choose a cellar bottle under Drink and tap Open & track.
  2. VinoStash suggests a general freshness window based on the style and shows the remaining days.
  3. Update the remaining amount, opening date, context, venue or notes at any time.
  4. When finished, send it to the Journal; or return/discard it without losing the original cellar record.

๐Ÿ”” Device notifications

Optional alerts even when VinoStash is closed.
  1. Open Settings โ†’ Device notifications and choose drink-window alerts, open-bottle alerts, your preferred local time, and whether wine names may appear on the lock screen.
  2. Tap Enable device alerts. VinoStash requests system permission only from this button tap and sends a test notification.
  3. On iPhone or iPad, first add VinoStash to the Home Screen from Safari, then open that icon and enable alerts inside the installed app.
  4. Device alerts are included with Cellar Plus, Collector Pro and Founder memberships. The once-daily in-app alert remains available whenever VinoStash opens.

๐Ÿท๏ธ Context and venue

Remember the occasion and where the bottle found you.
  1. Choose quick tags such as Date Night, Patio, Restaurant, Great Value or With Friends while opening a bottle.
  2. Type a venue, or tap ๐Ÿ“ Suggest to request a one-time nearby-place suggestion.
  3. Review or edit the suggestion before saving. VinoStash stores the venue name you approve, not your GPS coordinate.

๐Ÿ—บ๏ธ Visual cellar maps

Row and column maps for every storage location.
  1. Add your storage locations in My Profile.
  2. Open Cellar maps, select a location and choose its rows and columns.
  3. Tap an empty slot to assign bottles. Tap an occupied slot to view, move or clear it.
  4. Existing bottles stay under Unassigned until you place them; nothing is moved automatically.

๐Ÿฝ๏ธ Dinner Party Stash links

A clean guest viewโ€”no account required.
  1. Open My Profile โ†’ Dinner Party Stash and choose the bottles guests may see.
  2. Choose a 1-, 7- or 30-day expiration and optionally include estimated ranges.
  3. Copy or text the private link. Guests can suggest bottles for the gathering.
  4. Revoke the link anytime. Purchase prices, receipts, storage locations and private notes are always excluded.

๐Ÿ“” Journal, photos & sharing

Your drinking history, forever.
  1. The Journal tab lists every bottle you've opened, newest first โ€” last week's bottles are right at the top.
  2. Each entry shows when it was opened and who logged it (when the cellar is shared).
  3. Tap any entry to add or edit tasting notes โ€” or fix the Enjoyed on date if you logged it late.
  4. If the entry has a group photo, tap โฌ‡๏ธ Save photo to put it in your Photos, or ๐Ÿ’ฌ Text it to share it with your contacts or any phone number.

๐Ÿ“œ My History

"What did we drink last week?" โ€” answered in two taps.
  1. Open the menu (โ˜ฐ) and tap My History.
  2. Your stash story appears month by month โ€” what came in, what got opened, and where your bottle count stood.
  3. Use the month picker to jump to any month, and tap any gold number to see exactly which bottles are behind it.
  4. For day-by-day detail โ€” like everything from last week โ€” the Journal lists every opened bottle with its date, newest first.

๐ŸŽ‰ Events

Parties, weddings, tastings, game days.
  1. Open the menu (โ˜ฐ) and tap Events, then ๐ŸŽ‰ Record a new event.
  2. Capture the bottles poured, your notes, the food, photos, and the crew.
  3. Add tags ("wedding", "game day") and filter your events by tag later.
  4. Everything stays with the event โ€” a scrapbook page for every gathering.

๐Ÿ’‘ Share your cellar with a partner

One cellar, two people โ€” signed in at the same time.
  1. Go to My Profile โ†’ ๐Ÿ’‘ Share my cellar and tap ๐Ÿ’Œ Invite my partner.
  2. Enter your partner's email address and first name. An invitation email opens, carrying a private link that works for 7 days and only for their address. No passwords are ever shared.
  3. They tap the link and create their own free account with their own password (or sign in if they have one) โ€” your cellar opens for both of you automatically.
  4. You can both stay signed in at once โ€” on any devices. Changes flow both ways within moments, and nothing gets overwritten: each bottle, note, and event keeps its latest edit.
  5. Journal entries are stamped with who logged them, and the Share card shows every member and pending invitation โ€” with a Revoke button next to each. Revoking takes effect immediately.

๐Ÿ“Š Cellar report (Excel)

For your records, your insurer, or your broker.
  1. Go to Settings โ†’ Cellar report.
  2. Tap Download Excel for a file with your full cellar (values, locations, racks, drink-by windows), your journal โ€” including who logged each bottle โ€” and your wish list.
  3. Or tap Email report to send it straight from your phone's share sheet.
๐Ÿ’ก Moving in the other direction? Settings โ†’ Import your cellar (Excel) gives you a template โ€” one row per wine, with Location and Rack columns.

๐Ÿ”Ž Help, right inside the app

Instructions without leaving your cellar.
  1. Open the menu (โ˜ฐ) and tap Help & search โ€” or tap ๐Ÿ”Ž Help & how-to on the welcome screen.
  2. Type what you're trying to do โ€” "backdate", "rack", "partner", "last week" โ€” and the matching how-tos appear instantly.

๐Ÿ“ฑ Install VinoStash on your phone

No app store needed.
  1. Open vinostash.com/app.html in Safari (iPhone) or Chrome (Android).
  2. iPhone: tap the Share button, then Add to Home Screen.
  3. Android: tap the โ‹ฎ menu, then Add to Home screen (or "Install app").
  4. VinoStash now opens full-screen from your home screen, like any app.
